Electrical Estimate Follow-Up Without Overpromising

A sent estimate is not a completed sales process. The follow-up needs a visible owner and next step, while every scope, code, price, and schedule statement stays tied to an authorized person and current document.

Give every estimate a state and an owner

Use a short pipeline: draft, internal review, sent, customer question, revision requested, accepted, declined, expired, and closed. Record who owns the next action and when it is due. Sent is a state, not an outcome.

Keep the accepted document immutable. Revisions should create a new version with the reason and approver. The customer and team should always know which version controls the current conversation.

  • Estimate number and version.
  • Scope summary and explicit exclusions.
  • Customer question or requested change.
  • Permit, inspection, material, or access dependency.
  • Authorized next action and due time.

Prepare answers from the approved estimate

An AI assistant can summarize the estimate, retrieve approved explanations, draft a response, and remind the estimator that a question is waiting. It should not create scope, interpret code, change price, promise material availability, or invent a start date.

Require the draft to cite the estimate version or approved knowledge used. If the source cannot answer the question, the correct output is an escalation—not a confident paragraph.

  • Answer administrative questions from the current document.
  • Route technical, code, scope, pricing, and schedule questions to the authorized role.
  • Show proposed changes as proposed until approved.
  • Stop follow-up on decline, expiration, acceptance, or customer request.

Make dependencies visible before acceptance

Electrical work can depend on site access, utility coordination, permits, inspections, equipment, materials, and other trades. List the dependencies that affect the next step without presenting them as guaranteed dates.

When the customer accepts, create the job handoff from the accepted estimate and carry forward the dependencies, attachments, decision history, and communication commitments. Do not make the production team rebuild context from the salesperson's inbox.

Measure follow-up without gaming the number

Track time from send to first follow-up, estimates without a disposition, customer questions awaiting an authorized answer, revision cycles, acceptance rate by estimate type, and handoff completeness after acceptance.

A faster follow-up is not better if it introduces incorrect scope or pressure. Pair speed with correction rate, complaints, and the number of commitments the field later had to change.
